C-Care Uganda (C-Care IMC) is seeking an Administrative Officer based in Jinja, Jinja District, Uganda. This is a part-time on-site role focused on front-office operations — receiving, registering, directing, and billing patients while delivering exceptional customer service. The officer is the first point of contact for patients and visitors and is responsible for accurate patient information collection, insurance verification, billing processes and maintaining positive patient interactions in line with C-Care protocols. The role supports clinics under the C-Care IMC network, which operates over 20 clinics across Uganda including C-Care IMC Jinja.

Key Duties and Responsibilities

  • Greet and welcome patients and visitors in a courteous and professional manner
  • Collect and accurately record patient information, including personal details, insurance data and medical history
  • Ensure all required forms and documents are completed and signed by patients; handle patient bookings
  • Verify patient insurance coverage and eligibility, including co-pays and deductibles
  • Communicate insurance-related information to patients and assist with inquiries
  • Collaborate with insurance providers to resolve discrepancies or issues
  • Generate and review patient bills, ensuring accuracy and completeness; explain billing procedures and financial obligations to patients
  • Collaborate with team and supervisor to resolve billing inquiries or disputes
  • Post invoices and present them to clients; present updated interim bills and invoices to clients and send invoices to insurance for pre-approvals where needed
  • Close visits in the system and submit invoices to the vetting team
  • Maintain a friendly, welcoming and patient-centric atmosphere; handle patient inquiries, complaints or concerns professionally and empathetically
  • Ensure patient confidentiality and privacy are strictly maintained; ensure all patient interactions are dealt with confidentially and paperwork handled per C-Care protocol
  • Capture and facilitate immediate resolution of patient complaints; break down issues into urgent plan of action affecting patient satisfaction and report service gaps to ensure interventions
  • Maintain working knowledge of the appointment system — times of all clinics, duration of appointments, computer system, doctors' rotas, procedures for booking routine and urgent appointments
  • Switchboard management / operation of telephone: receive and make calls efficiently and professionally according to C-Care protocol
  • Direct patients to appropriate departments or healthcare professionals; provide clear directions within the facility to ensure smooth patient flow and address patient concerns regarding their visit

Qualifications, Skills and Requirements

  • Bachelor's degree in any business field
  • At least 1 year working experience in a service industry
  • Strong customer service, communication and interpersonal skills
  • Accuracy in data capture, billing and insurance verification
  • Knowledge of appointment systems, computer systems and switchboard/telephone etiquette
  • Ability to handle patient complaints with empathy, confidentiality and professionalism
  • Organized, courteous and able to work in a busy clinical environment
