Job Details
AsOne Ministries is a Christ-centered, non-profit organization committed to making disciples of Jesus and creating sustainable solutions in education, enterprise, health, and agriculture in rural, underserved communities across Uganda. The Receptionist/Cashier is often the first and last point of contact for every patient and visitor at the clinic in Namutumba, responsible for welcoming patients, managing appointments and patient flow, handling cash and payment transactions accurately, and maintaining clear financial and patient records while delivering warm, Christ-centered customer care. Employment Type: Full-time, 8 work hours. Duty Station: Namutumba, Uganda. Salary: Not Disclosed. Reports to Clinic Manager and Finance Officer.
Key Duties and Responsibilities
- Warmly welcome and receive all patients, visitors, and callers to the clinic, directing them to the appropriate service point.
- Register new patients and update existing patient records with accurate personal and contact details.
- Manage patient appointment scheduling, walk-ins, and queue flow to ensure smooth, orderly service.
- Answer phone calls and respond to inquiries promptly, courteously, and professionally, or direct calls to the appropriate staff member.
- Maintain a clean, organized, and welcoming reception and waiting area at all times.
- Coordinate with clinical staff to ensure patients are seen in a timely and orderly manner, communicating any delays with patience and courtesy.
- Provide accurate information to patients about clinic services, hours, fees, and procedures.
- Handle sensitive patient inquiries and information with discretion and confidentiality.
- Receive and process patient payments for consultations, treatments, tests, and medications accurately and promptly.
- Issue receipts for all payments received, ensuring every transaction is properly documented.
- Maintain accurate daily cash records, reconciling cash collected against receipts issued at the end of each shift.
- Prepare and submit daily cash reports and banking summaries to the Finance Officer or Clinic Manager.
- Safely handle, count, and store cash, ensuring proper security measures are followed.
- Process refunds, waivers, or fee adjustments only as authorized by the Clinic Manager or Finance Officer.
- Support basic petty cash management and record-keeping as directed.
- Flag any discrepancies, suspected fraud, or irregularities in payments or records immediately to the Finance Officer or Clinic Manager.
- Maintain organized, accurate, and confidential patient and financial records, both physical and electronic.
- File and archive patient registration forms, receipts, and financial documents in an orderly and retrievable manner.
- Support the compilation of daily, weekly, and monthly patient attendance and revenue reports.
- Assist in managing office supplies and stationery needed for reception and cashier functions.
- Ensure compliance with clinic policies, financial procedures, and data protection standards in all record-keeping.
- Assist in preparing documentation for audits, inspections, or visits by health authorities or partners.
- Greet every patient and visitor with warmth and respect, listening attentively and handling complaints, billing disputes, or frustrations calmly and courteously.
- Show extra sensitivity and patience with elderly patients, anxious patients, and those in pain or distress while maintaining confidentiality and dignity.
- Work closely with clinical staff, the Clinic Manager, and Finance Officer to ensure smooth coordination between patient flow, service delivery, and billing.
- Participate in staff meetings, devotions, fellowships, and outreach initiatives as part of the AsOne community.
Qualifications, Skills and Requirements
- Diploma in Front Office Management, Business Administration, Accounting, or a related field.
- Minimum of 1–2 years of experience in a receptionist, cashier, or front-office role, preferably in a health or service-oriented setting.
- Basic knowledge of cash handling, bookkeeping, or basic accounting procedures is required.
- Demonstrated personal Christian faith and commitment to Christ-centered service is an added advantage.
- Warm, friendly, and welcoming, with a genuine passion for serving people.
- High level of honesty, integrity, and trustworthiness in handling cash and confidential information.
- Patient, calm, and composed, even when handling difficult patients or high-pressure situations.
- Strong attention to detail and accuracy in record-keeping and cash handling.
- Excellent verbal communication and interpersonal skills.
- Proficient in basic cash handling, receiving, and daily reconciliation procedures.
- Skilled in patient registration, appointment scheduling, and record management.
- Basic computer literacy, including data entry and use of simple record-keeping or billing systems.
- Capable of maintaining confidentiality and professionalism in a busy, people-facing environment.
