Job Details

Sponsorships Content & Administration Officer role based in Uganda (Full Time, Administrative). The role works closely with students, teachers and the Uganda and Australian teams to capture meaningful content for the Scholarship Program, coordinate donor communications and support sponsorship and student data management. Reports across Ugandan time zone with occasional early meetings with Australian stakeholders. Two-way communications and donor engagement focused.

Key Duties and Responsibilities

  • Capture unique, personalized content for donors who support the scholarship program, including student portraits, thank you videos, handwritten letters and other bespoke content
  • Provide regular updates on class activities and progress to keep sponsors engaged
  • Coordinate and support key donor activities – two-way communications, cards and letters, student-drawn pictures
  • Record and share birthday videos or photos for sponsored students
  • Coordinate and facilitate student responses to sponsor letters to ensure timely and meaningful communication
  • Understand donor requirements and support collection of additional content and stories to demonstrate impact of donor investment
  • Promote key achievements and highlights in Uganda to both Australian staff and donors
  • Support Communications and Marketing Officer in content capture for high profile events and milestones
  • Ensure child safeguarding in relation to storytelling and ensure students share their story in a safe manner
  • Support development of donor collateral, communications and various other touchpoints for the Scholarship Program
  • Deliver content on time and of high quality to the Australian Team as per agreed timelines
  • Ensure smooth uploading of photos and other content to Dropbox, adhering to agreed naming conventions
  • Work with both Australian and Uganda Teams to coordinate key content capture days
  • Support donor visits and act as back-up coordinator for traveler logistics
  • Manage collection and delivery of sponsorship data and student updates to foster sponsor–student connections
  • Support key data processes, e.g. student dropout processes, student registration, donor cancellation or new donors
  • Help manage the donor portal – maintaining data, updating pages, approving two-way communications and responses/content
  • Support ongoing maintenance and integration of student data between the donor CRM (Salesforce) and the Ugandan Student Management Information System
  • Coordinate with Ugandan staff and teachers to ensure content is delivered with limited impact to student learning
  • Champion the Scholarship Program and build alignment between students, parents, teachers and the Australian community
  • Develop and promote strategies to improve and streamline content gathering in Uganda
  • Educate and promote the impact of the scholarship program for staff and students
  • Manage volunteers and other staff members for content collection where necessary
  • Ensure strong relationships with students and teachers during content capture
  • Support operational logistics for Australian staff and donor trips to Uganda
  • Work across Ugandan time zone with occasional early meetings with Australian stakeholders and adapt to Australian Team ways of working

Qualifications, Skills and Requirements

  • Bachelor’s Degree in Communications, Journalism, Social Sciences, or related field
  • Essential: 2-3 years experience in communications, sponsorship, or donor relations in an NGO/charity setting
  • Experience in writing compelling stories, letters, and reports for donors
  • Strong content development, photography/videography coordination and donor communication skills
  • Excellent data management skills including Salesforce CRM and student management systems
  • Understanding of child safeguarding principles in storytelling
  • Strong stakeholder management and cross-cultural communication skills
  • Ability to manage volunteers and coordinate with teachers and staff
  • Highly organized with ability to deliver high-quality content on time
